Information we collect

The information we collect depends on how you interact with us. When you make an enquiry, create or use an online account, make a booking or contact us, we may collect information including:

  • your name, address and contact details, including email address and telephone number;

  • your date of birth and other information required for your booking;

  • information about your booking, challenge and travel arrangements;

  • participant details for you and anyone travelling as part of your booking;

  • payment and transaction information;

  • your marketing and communication preferences;

  • information you provide when contacting our team;

  • information required to arrange or manage your challenge;

  • emergency contact information;

  • information about how you use our website; and

  • information about your chosen charity or fundraising activities, if you choose to share it with us.

Health and medical information

Our cycling and trekking challenges involve physical activity, and we may need to collect certain information to understand your individual requirements and support your participation safely. Where necessary, you may be asked to provide information relating to your health, medical conditions, accessibility, mobility, allergies or dietary requirements.

Where this information is considered special category personal data under UK data protection law, we will only process it where we have an appropriate lawful basis and an additional legal condition for doing so. Relevant information may be shared with challenge leaders, medical professionals or other suppliers where necessary to support your health, safety and participation. We only share information necessary for the relevant purpose.

If you provide personal information about another person, such as a fellow participant or emergency contact, you should make sure they are aware that their information will be provided to us and how it may be used.

How we use your information

We may use your personal information to:

  • manage enquiries and requests for information;

  • process and administer your booking;

  • arrange the services included within your challenge;

  • communicate with you before, during and after your challenge;

  • provide information about your itinerary, preparation and participation;

  • provide guidance about charitable fundraising where relevant to your participation;

  • manage payments, refunds and other transactions;

  • provide customer service and respond to questions;

  • manage your online account and preferences;

  • support the safe organisation and delivery of our challenges;

  • send marketing communications where you have agreed to receive them or where we are otherwise permitted to do so;

  • understand how our website is being used and improve the customer experience;

  • prevent fraud and protect the security of our website and services; and

  • meet our legal, regulatory and financial obligations.

Our legal basis for using your information

UK data protection law requires us to have a lawful reason for processing your personal information. Depending on the circumstances, we may process your information because:

  • It is necessary to fulfil our contract with you – for example, to process a booking and provide the challenge or travel arrangements you have purchased.

  • We have a legitimate interest – for example, to operate and improve our business, respond to enquiries, provide customer service, understand website performance and protect our systems.

  • You have given us your consent – for example, for certain marketing communications or cookies.

  • We have a legal obligation – where we need to retain or process information to comply with applicable laws and regulations.

  • Where we process special category personal data, such as health information, we will also identify an appropriate additional condition under UK data protection law. Where we rely on consent, you can withdraw that consent at any time.

Sharing your information

To arrange and operate your challenge, we may need to share relevant personal information with trusted third parties. These may include hotels and accommodation providers, transport operators, airlines, challenge leaders, guides, destination partners, medical support providers and other suppliers involved in providing your travel arrangements.

We may also share information with companies that provide services to us, such as website and technology providers, booking systems, payment processors, marketing platforms, analytics providers and professional advisers.

Where necessary for your participation, relevant information may be shared with local event teams or emergency services to support your health and safety. We only share information that is necessary for the relevant purpose and expect organisations processing information on our behalf to protect it appropriately. We may also disclose information where required by law or to protect our legal rights.

Charitable fundraising

Dream Challenges encourages participants who wish to fundraise to support a charity or cause that is meaningful to them. You are free to choose the charity or cause you wish to support; fundraising is not restricted to any particular organisation.

Where you tell us about your fundraising activities, we may use that information to respond to enquiries, provide relevant guidance or support your participation in the challenge.

We do not automatically share your personal information with your chosen charity simply because you have booked a Dream Challenges event. If you choose to contact a charity or use an external fundraising platform, that organisation will be responsible for explaining how it collects and uses your personal information. If we need to share information with a charity for a specific purpose, we will explain the arrangements and identify an appropriate lawful basis before doing so.

International transfers

Many of our cycling and trekking challenges take place outside the UK, and some of our suppliers or technology providers may be based overseas. This means your personal information may sometimes need to be transferred outside the UK.

For example, we may need to share relevant booking and participant information with overseas accommodation providers, transport operators, guides or destination partners to arrange and deliver your challenge. Where required, we take appropriate steps to ensure that personal information transferred internationally receives an appropriate level of protection in accordance with UK data protection law.

Payments

When you make a payment, your payment information will be processed securely by our payment providers. We do not use your payment information for purposes unrelated to processing or managing your transaction.

If you make a donation directly to a charity or through an external fundraising platform, that organisation will process the associated payment information under its own privacy policy.

Marketing communications

If you have chosen to hear from us, or where we are otherwise permitted to contact you under applicable law, we may send information about upcoming cycling and trekking challenges, destinations, fundraising opportunities, special offers and other Dream Challenges news.

We may use information about your previous enquiries, bookings or interests to make our communications more relevant to you. You can change your marketing preferences or unsubscribe at any time using the unsubscribe option included within our marketing emails or by contacting us.

Stopping marketing communications will not prevent us from contacting you where necessary in relation to an existing enquiry, booking or challenge. We do not automatically share your marketing preferences or permissions with charities or other organisations.

Website analytics and cookies

We use cookies and similar technologies to help our website work correctly, understand how visitors use it and improve their experience. We may use analytics services, including Google Analytics, to collect information such as pages visited, interactions with the website, device and browser information and general website usage.

Where required, non-essential cookies and similar technologies will only be used after you have provided your consent. You can manage your cookie choices through the cookie controls available on our website. Further information can be found in our Cookie Policy.

How long we keep your information

We keep personal information only for as long as necessary for the purposes for which it was collected and to meet our legal, accounting and regulatory obligations. The period for which we retain information will depend on the type of information and the purpose for which it is used.

When determining appropriate retention periods, we consider our legal and regulatory obligations, the nature of our relationship with you and whether the information may be required to establish, exercise or defend legal claims.

Where we collect health or medical information in connection with your participation, we will only retain it for as long as necessary for the relevant purposes, taking account of applicable legal obligations and any need to establish, exercise or defend legal claims.

When personal information is no longer required, we will securely delete or anonymise it, except where limited information needs to be retained, for example to record a marketing opt-out.

Keeping your information secure

We take appropriate technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. While no online service can guarantee absolute security, we regularly review the measures we use to protect the information entrusted to us.

Under UK data protection law, you have rights in relation to your personal information. Depending on the circumstances, these may include the right to:

  • request access to the personal information we hold about you;

  • ask us to correct information that is inaccurate or incomplete;

  • ask us to delete your personal information;

  • ask us to restrict how we use your information;

  • object to certain uses of your information;

  • request the transfer of certain information to you or another organisation; and

  • withdraw consent where we rely on consent to process your information.

Not all rights apply in every circumstance, and there may be legal reasons why we need to continue processing or retaining certain information. To exercise any of these rights, please contact us using the details below.
